What School ERP Software Actually Costs in India (2026 Figures)

Quotes for the same school routinely differ by four times. Almost none of that is product difference — it is what each vendor left out of the number they showed you.

A 600-student school asking three vendors for a quote will get numbers somewhere between ₹40,000 and ₹2,00,000 a year. The products are not four times different. The quotes are, because each vendor drew the line around "included" in a different place.

This is what the market actually charges, what gets billed separately, and the arithmetic that makes two quotes comparable.

The headline number: per student, per year

Most Indian school software is priced per enrolled student per year. The working range across the market is roughly ₹100 to ₹500 per student per year, depending on how many modules you switch on and whether a parent app is included.

Flat-rate offers exist at the small end — a few vendors quote a fixed figure for unlimited students, which suits a growing school and is worth asking about if you expect enrolment to rise sharply.

The part that makes quotes incomparable

Industry estimates put real total cost of ownership 40 to 60 percent above the licence figure once everything is counted. These are the six lines to ask about explicitly, because a quote that omits them is not cheaper — it is less complete.

Year one versus year two

Year one carries the one-time costs — setup, migration, training, sometimes hardware for biometric attendance. Year two onward is the licence plus support plus your running SMS and gateway charges. A quote that shows only year one flatters the vendor; a quote that shows only the renewal hides the setup.

Ask every vendor for both numbers in writing: total year one, and total year two. That single request removes most of the apparent difference between quotes.

Where cheap genuinely costs more

Low quotes are not automatically bad — a smaller vendor with lower overheads can be excellent value. The risk is not price, it is what the price forced them to leave out.

  • Payment collections settling to the vendor's account before reaching the school
  • Support only over email, with no committed response time during result and fee weeks

Questions that price a quote properly

We price per student per year against your actual enrolment and the modules you switch on, and we put year one and year two in the same document so there is nothing to discover later. Onboarding, data migration and staff training are quoted upfront rather than added afterwards.

Payment gateway charges are paid to the gateway, not to us, and the gateway is registered in the school's own name so collections settle directly to the school. In-app and push notifications carry no per-message cost. A full data export is available on demand, in a readable format, because a school should be able to leave without a negotiation.

We would rather give you a number that stays the same than a low one that moves. If a module you need is on our roadmap rather than live, we will say so before you sign, not during implementation.
